In this episode, I'm going to show you how to create a system that works for you to get improved productivity, clarity of purpose, and improved workflow. I'll outline a 5-step system, I took to create a Focus Funnel. When you cut down all the decisions to only 5 choices. Then you will be able to focuse on what's important and what will give you the maximum return on investment.

If you're struggling to stay productive and feel like you're constantly playing catch-up, this episode is for you. These 5 steps are falling under pillar 1 of the 5 pillars discussed in this episode. I remember back in the day when I started to really explore what it means to be on my own and not have to feel the security of being with a large organization. I was taking care of my patients and documenting and talking to my team, making sure they felt also supported. Things were divided up and we got to go home. However, when I was on my own, it seemed like something always happened, something that I had planned, even those who were great at being productive. I tried to get up at five for about a month and I felt very good. I was able to get things done. However, then I was so in the zone of doing things I wasn't even thinking about oh my gosh, I have a case. I need to then rush into the clinical hospital because I was trying to adopt someone else's routine, not my own. I realized that I need to create a ritual that fits my lifestyle and then my energy pattern. I also realized that people have different Chronotypes and that we can work outside of our Chronotype, but it's not sustainable. I learned that when things don't go well we can do mental fitness exercises, like mini mental vacations, to reset our mind and body back to a more calm, peaceful, and intentional state.

Here are the steps you need to follow to also get 1. Improved productivity 2. Improved clarity of purpose 3. Improved workflow:

  1. Delete
  2. Automate
  3. Delegate
  4. Delay
  5. Concentrate

 

Delete

The first step in the process is to delete. I know you have so many initiatives that you want to do and many more others want you to do for them or with them. However, just because it is good to have, it doesn't mean it will create the results that align with your business or personal mission. 

Ask yourself, is this within your natural superpower? Does this align with your core values? Do you intuitively believe firmly this is what you spend your precious energy, time, and sanity on? If you are one of your most trusted advisors, would s/he say yes to this?

You have the power of saying NO. NO = new opportunities! Give yourself the permission to say NO more often so you can say YES to the only things that truly matter!

 

Automate

In order to automate, you need to first identify which tasks can be automated. This includes identifying which tasks are essential to your business and which can be delegated to others or eliminated entirely. Once you have identified which tasks can be automated, you need to set up a system to do so. This may include using software or hiring someone to handle these tasks for you. Automating your business can help to improve efficiency and free up your time to focus on more important tasks.

Streamline your processes In order to streamline your processes, you need to take a close look at how your business currently operates. This includes identifying any bottlenecks or areas of inefficiency. Once you have identified these areas, you can start to make changes to streamline your processes. This may include automating certain tasks, eliminating unnecessary steps, or changing the way you do things. Streamlining your processes can help to improve your efficiency and bottom line. 

Invest in the right tools Investing in the right tools can help to streamline your processes and make your business more efficient. This may include investing in software to automate certain tasks, hiring someone to handle your accounting or bookkeeping, or investing in a CRM system. The right tools can help to save you time and money, and they can help to improve your bottom line.

Delegate

The first step in the process is to delegate. This means identifying what tasks can be handled by someone else and then assigning those tasks to the appropriate person. This can be done by creating a system or by using a tool like a virtual assistant. The goal is to make sure that the tasks that need to be done are being handled by someone who is capable of doing them, and that you are not trying to do everything yourself.

Set a Schedule once you have delegated the tasks that can be handled by someone else, it is time to set a schedule. This will help you to ensure that you are able to complete the tasks that you need to, without getting overwhelmed. By setting a schedule, you can also make sure that you are taking the time to rest and relax, which is important for your overall health.

Follow Through The final step in the process is to follow through. This means that you need to make sure that you are actually completing the tasks that you have set for yourself. This can be done by setting reminders, or by using a tool like a task manager. The goal is to make sure that you are completing the tasks that you have set out to do, so that you can achieve your goals

Delay vs Concentrate

To, start by identifying your top priorities and ensuring that you have systems in place to handle the basic tasks that need to be done. Eliminate anything that is not essential and delegate or automate anything that you can. Finally, make sure to audit your systems regularly to ensure that they are running smoothly and that you are not being bogged down by unnecessary tasks.

By following the steps above, you can create a system that works for you and helps you to be more productive. Just remember to focus on what's important, delegate and eliminate distractions, and audit your system regularly.
